Privacy and confidentiality
We adhere to the National Privacy Principals and view your confidentiality and privacy very seriously. Doctors and staff are regularly updated with changes to privacy laws. Should you wish to read a our privacy statement, click on the link provided below or request a copy from reception.
You may wonder why we continue to ask your date of birth and other identifiers, such as your address or phone number. We need to ascertain that we are talking to the right person so that sensitive information is not unknowingly divulged. We will not disclose personal information about you to third parties unless we have your written permission to do so.
Should you feel we have breached your privacy or you have any concerns, please do not hesitate to raise this with your doctor or our practice manager. We will endeavour to respond to all complaints in a timely manner; all feedback is taken seriously

Emailing
At Moana Medical Centre, we understand that keeping your private and sensitive patient information secure is essential. For this reason, our policy regarding methods of communication involving patient information is to utilise a secure messaging system, fax or post. Routine email is not a secure method of communication.
Examples of potential risks when using unsecured or unencrypted email:
- an email can be forwarded or changed without the knowledge or permission of the original sender
- an email is vulnerable to interception and hacking by unauthorised third parties
- emails can be accessed on portable devices
- emails may be limited to file sizes where images are required
If you are in a situation where you require specific information from your patient record and the matter is time sensitive, or circumstances determine that emailing is your only option, this may be arranged at your GPs discretion. After discussion with your doctor, if it determined to be necessary, the information will be sent via email following a strict protocol.
The following steps must be completed:
- discussion with your GP – patient information cannot be emailed without your doctor’s consent
- complete the Authority to Release Medical Information via email form and email to: communicate@moanamedicalcentre.com.au
- on receipt of the requested information, sign the enclosed Confirmation of Receipt form and email back to the practice.
A separate authority is required for each individual.
